iOrchestrate, LLC (“iOrchestrate,” “we,” “us,” or “our”) is committed to providing quality music education, research consulting, and performance services. This Refund and Cancellation Policy explains the terms that apply when a customer cancels a service, requests a refund, or is unable to participate in a scheduled service.
By purchasing or booking services from iOrchestrate, you acknowledge and agree to this policy.
1. General Refund Policy
Refund eligibility depends on the type of service purchased.
Because some iOrchestrate services require advance scheduling, preparation, reserved time, or customized materials, certain payments may be non-refundable.
Unless otherwise stated in writing, refunds will be issued only in accordance with the terms outlined in this policy.
2. Online Group Music Lessons
Monthly Group Lessons
Monthly lesson payments are generally non-refundable once the monthly lesson period has begun.
If a student cancels before the beginning of a new billing or lesson period, the customer may request cancellation before the next billing date.
Once a monthly payment has been processed, that payment generally applies to the applicable lesson period and will not be prorated for missed lessons or unused sessions.
Missed Lessons
No refund or credit will generally be provided for:
● Missed lessons
● Late arrival
● Failure to attend
● Technical difficulties on the student’s end
● Failure to access the lesson at the scheduled time
When reasonably possible, iOrchestrate may offer a make-up opportunity at its discretion.
iOrchestrate-Cancelled Lessons
If iOrchestrate must cancel a scheduled lesson and cannot provide a reasonable make-up opportunity, iOrchestrate may provide a make-up lesson, account credit, or refund for the affected lesson, at iOrchestrate’s discretion.
3. Research Consulting Services
Because research consulting services may involve reserved appointment time and preparation, consulting fees are generally non-refundable once the consultation or service has begun.
If a client cancels sufficiently in advance, iOrchestrate may allow the appointment to be rescheduled.
If a client fails to attend a scheduled consultation without providing reasonable advance notice, the consultation fee may be forfeited.
If iOrchestrate cancels a consultation and cannot provide a reasonable rescheduling option, the client may be eligible for a refund of the amount paid for the cancelled service.
4. Performance Services
Performance bookings may require a deposit or advance payment to reserve the date and time.
Unless otherwise agreed in writing, performance deposits are non-refundable because the booking reserves the performer’s availability and may prevent iOrchestrate from accepting another booking for the same date and time.
Client Cancellation
If a client cancels a performance:
● Any non-refundable deposit will be retained.
● Additional payments may be refundable depending on how far in advance the cancellation occurs and the amount of preparation or expenses already incurred.
● Refund eligibility will be determined based on the specific booking agreement.
For larger or customized performance engagements, iOrchestrate may require a separate written agreement containing specific cancellation and refund terms.
Event Changes
Changes to the event date, time, location, duration, or performance requirements may affect the price and availability of the performance.
iOrchestrate will make reasonable efforts to accommodate changes but cannot guarantee availability.
5. Cancellation by iOrchestrate
If iOrchestrate must cancel a service and cannot provide a reasonable replacement, rescheduling option, or comparable service, the customer may be eligible for a refund for the affected service.
Refunds will generally be limited to amounts actually paid for the cancelled service.
iOrchestrate will not generally be responsible for additional costs incurred by a customer as a result of a cancellation, including travel, lodging, venue, or other third-party expenses, except where required by applicable law or agreed to in writing.
6. Digital Products and Recorded Materials
Unless otherwise stated at the time of purchase, digital products, recorded lessons, downloadable materials, and other electronically delivered products may be non-refundable once access has been provided or the product has been delivered.
If you experience a technical problem preventing access to a purchased digital product, please contact iOrchestrate so we can attempt to resolve the issue.
7. Duplicate or Unauthorized Charges
If you believe you were charged more than once for the same transaction or were charged without authorization, please contact us promptly.
We will review the transaction and, when appropriate, issue a refund or correction.
8. Refund Requests
To request a refund, please contact iOrchestrate using the information below. Please include:
● Your full name
● Email address
● Service purchased
● Date of purchase or booking
● Amount paid
● Reason for the refund request
● Any relevant supporting information
Refund requests should be submitted as soon as possible after the issue giving rise to the request.
Submitting a refund request does not guarantee that a refund will be approved.
9. Approved Refunds
When a refund is approved, iOrchestrate will generally issue the refund to the original payment method used for the purchase.
Processing times may vary depending on the payment processor and financial institution.
iOrchestrate is not responsible for delays caused by banks, credit card companies, payment processors, or other financial institutions.
10. Non-Refundable Fees and Expenses
Certain fees may be non-refundable, including:
● Deposits specifically identified as non-refundable
● Administrative fees
● Customized materials already created
● Services already performed
● Digital products after access has been provided
● Reserved performance dates
● Other fees clearly identified as non-refundable before purchase
Any non-refundable fee will be disclosed before or at the time of purchase or booking when required by applicable law.
11. Chargebacks and Payment Disputes
Before initiating a chargeback or payment dispute with a bank or payment provider, customers are encouraged to contact iOrchestrate so we can attempt to resolve the issue.
Nothing in this section limits a customer’s rights under applicable law or the rules of the applicable payment network.
12. Exceptions
iOrchestrate may consider refund requests on a case-by-case basis when unusual circumstances exist.
Providing an exception in one situation does not create an obligation to provide the same exception in the future.
Nothing in this policy is intended to waive or restrict any refund or cancellation rights that cannot legally be waived or restricted under applicable law.
13. Changes to This Policy
iOrchestrate may update this Refund and Cancellation Policy from time to time.
When changes are made, the updated policy will be posted on our website with a revised “Last Updated” date.
The version of the policy applicable to a purchase will generally be the version in effect at the time of purchase, unless otherwise required by law.
